How to prepare a clear machinery parts inquiry

A practical checklist of the references, quantities and destination details that help a supplier review your replacement parts request.

A useful parts inquiry helps both the buyer and the supplier discuss the same item. Begin with the information you already have, then clearly identify any gaps.

Start with the part reference

Include the existing part number and the machine make and model. If your records contain several references, explain which came from the old part, the machine manual or a previous purchase.

Do not silently replace one reference with another. Ask the supplier to review the relationship between them.

Describe the application

State where the component is used and include serial or engine information when available. A general machine model may cover different equipment configurations.

For rubber couplings, useful supporting information can include the coupling dimensions and connection details. For rubber hoses, include the operating requirements as well as the dimensions.

Make the commercial request clear

Include:

  • Quantity for each item.
  • Delivery destination country.
  • Any required delivery date, identified as your requirement rather than an assumed promise.
  • Packaging or documentation requirements.
  • Whether the inquiry is for a one-time repair or recurring supply.

Share supporting images separately

Clear photographs of the existing part and its markings can help clarify a request. Include scale or measurements where useful. Photographs alone are not a guarantee of compatibility.
